Preparing 1099 Forms in Xero

As of my last knowledge update in September 2021, Xero provides features for handling 1099 forms for vendors or contractors. 1099 forms are used in the United States to report various types of income paid to non-employees, such as freelancers, independent contractors, and service providers. Here’s how to prepare 1099 forms in Xero:

1. Ensure Compliance:

  • Make sure you understand the IRS rules and requirements for issuing 1099 forms, including the thresholds for reporting various types of payments.

2. Verify Vendor Information:

  • Ensure that you have accurate and up-to-date information for each vendor or contractor who should receive a 1099 form. This includes their legal name, taxpayer identification number (TIN), and address.

3. Review Vendor Transactions:

  • In Xero, review the transactions for each vendor that qualify for 1099 reporting. These typically include payments for services, rent, or other reportable income.

4. Set Up Vendor as 1099 Eligible:

  • In Xero, you need to designate each vendor as 1099 eligible. You can do this by editing the vendor’s profile and checking the box that indicates they should receive a 1099.

5. Enter Vendor TIN:

  • Ensure that you have the correct TIN (either a Social Security Number or an Employer Identification Number) for each vendor eligible for 1099 reporting.

6. Assign Expense Accounts:

  • Assign the appropriate expense accounts to the transactions associated with each vendor that require 1099 reporting. This helps Xero categorize the payments correctly.

7. Run a 1099 Report:

  • In Xero, you can generate a 1099 report that summarizes the payments made to each vendor during the tax year. This report is essential for preparing the actual 1099 forms.

8. Verify the 1099 Report:

  • Review the 1099 report to ensure that all relevant transactions and vendors are included and that the amounts are accurate.

9. Print or E-file 1099 Forms:

  • Depending on your preference and the number of forms you need to file, you can either print physical 1099 forms and mail them to vendors or use an e-filing service that Xero may integrate with. E-filing is often more convenient and can help you meet IRS deadlines.

10. Distribute 1099 Forms:

  • Provide each vendor with their copy of the 1099 form by the IRS deadline, typically January 31st for the previous tax year.

11. File with the IRS:

  • If you’re using an e-filing service, they will handle the electronic submission of 1099 forms to the IRS. If you’re mailing physical forms, you’ll need to file copies of the forms with the IRS along with the corresponding 1096 transmittal form.

12. Keep Records:

  • Maintain copies of all 1099 forms, as well as records of your filings with the IRS, for your records and potential future audits.

13. Consult with a Tax Professional:

  • It’s advisable to consult with a tax professional or accountant to ensure compliance with IRS regulations and to handle any unique situations or complex scenarios.
