Tracking Serial and Lot Numbers in Xero

As of my last knowledge update in September 2021, Xero does not offer native, built-in support for tracking serial and lot numbers for inventory items. Xero’s inventory management features are relatively basic, and they do not include the ability to track serialized or lotted inventory. However, you can use workarounds and third-party integrations to achieve this functionality to some extent. Here’s a general guideline on how to track serial and lot numbers in Xero:

1. Use External Inventory Management Software:

  • Consider using external inventory management software that specializes in tracking serialized or lotted inventory. Many such systems integrate with Xero, allowing you to sync your inventory data between the two platforms.

2. Choose a Software with Serial/Lot Tracking:

  • Select an inventory management software that supports the tracking of serial numbers, lot numbers, or both, depending on your needs.

3. Set Up Integration:

  • Set up the integration between the chosen inventory management software and Xero. This typically involves connecting the two systems and configuring data synchronization.

4. Record Serial/Lot Numbers:

  • When you receive inventory items, record the serial or lot numbers in your external inventory management system. This system will become your primary source for tracking these details.

5. Sync Data with Xero:

  • Ensure that your inventory management software is configured to sync data with Xero. This should include inventory quantities, values, and relevant transaction details.

6. Use Serialized/Lotted Inventory in Sales and Purchases:

  • When you create sales invoices, bills, or other relevant transactions in Xero, reference the serial or lot numbers from your external inventory management system. Xero can include these details in the transaction records.

7. Monitor Serial/Lot Numbers:

  • Periodically reconcile your inventory records between your external inventory management software and Xero to ensure that serial and lot numbers are accurately reflected in both systems.

8. Leverage Reporting from Inventory Software:

  • Use the reporting and analytics features of your external inventory management software to track and manage your serialized or lotted inventory effectively. These systems often provide detailed reports and audit trails for these types of inventory.

While Xero itself doesn’t offer native support for tracking serial and lot numbers, using an external inventory management solution that integrates with Xero can provide you with the functionality you need. Always check Xero’s official website and consult with your inventory management software provider for the most current information on integration and features related to serialized and lotted inventory tracking.
